Therapy Appointments are Virtual

As a therapy patient of Vita Psychiatry, your therapy appointments will be virtual. A link to join your appointment will be sent to you 30 minutes prior to each of your scheduled appointments via email. 

If, for any reason, you don’t receive a link to join your appointment, please:

1. Log into your account with us at https://vitapsychiatry.janeapp.com

2. Select Upcoming Appointments

3. Find your appointment and click on Begin

You must use a device that has a working camera, microphone, and internet connection for your appointment.

Policies & Fees

Although your therapy sessions are covered under the Ontario Health Insurance Plan (OHIP), our clinic policy requires a valid credit card to secure your appointments with Vita Psychiatry. Your credit card information is secure and confidential and you will only be charged if you fail to follow our policies. 

Please note that our cancellation fee is based on the current rates provided by the Ontario Ministry of Health and can increase due to their decisions. To see more information about current cancellation fees, please scroll to the top of this page.

1. You must attend your virtual therapy appointments at the scheduled time that you have agreed to. If you do not attend your scheduled sessions for any reason (including but not limited to illness or emergencies), you will be charged a cancellation fee to the credit card we have on file. 

2. Our grace period is 5 minutes. If you are late by more than 5 minutes for any reason, this will be counted as a failure to attend, and you will be charged a cancellation fee to the credit card we have on file.

3. We strongly encourage all patients to log in 10 minutes prior to their appointment to ensure that you are on time and that your internet connection, camera and microphone are working. If your camera, microphone, or internet connection are not working during your session due to any technical issues on your end (this includes but not limited to: bad internet connection or power outage), you will be charged a cancellation fee to the credit card we have on file. 

4. You must be in a quiet and private space, and be free of distractions for your virtual therapy sessions (this includes but is not limited to: driving, taking phone calls, or texting). If you are distracted during a therapy session, your doctor reserves the right to cancel your appointment, and you will be charged a cancellation fee to the credit card we have on file. 

5. Please ensure that we have your valid Ontario Health Card number on file (including the current version code), and it is not expired. It is your responsibility to notify our administrative team at admin@vitapsychiatry.com if you receive an updated Ontario Health Card. If your Ontario Health Card is invalid or expired and is not accepted by the Ministry of Health, you will be charged a cancellation fee to the credit card we have on file.

6. You must attend the full length (46 minutes) of each scheduled therapy session. If you are not able to attend your full season and if you leave a session early, you will be charged a cancellation fee to the credit card we have on file.

7. When choosing a day and time for your therapy appointments, please ensure that it works for your schedule for all of the dates that have been communicated by the administrative team. There is a $50 fee for any time an appointment time change is requested and able to be rescheduled for any reason (including but not limited to illness and emergencies).

If a reschedule is not possible due to your schedule or your doctor’s schedule, and you are also not able to attend your originally agreed upon session time, you will be charged a cancellation fee to the credit card we have on file.

8. Because we have limited therapy appointments available and a high volume of patients, your future therapy sessions will be cancelled if you are not able to attend your scheduled sessions. This ensures that the available spots that we have are going to patients that are able to attend their sessions. 

9. Please ensure that your credit card is up to date and not expired. If the credit card that you have on file is not valid due to any reason (ex. expired or insufficient funds), your future appointments may be cancelled, as we require all patients to have a valid credit card on file for our cancellation policy.

Your Therapy Sessions are Non-Emergent Care

Vita Psychiatry is not an emergent care centre. If you are experiencing a medical or mental health emergency, please visit the nearest emergency department, or dial 911. 

Calling or emailing us here at Vita Psychiatry with a medical or mental health emergency is not an appropriate use of our services.

Discretions of Vita Psychiatry

Both you and your therapist have the right to end the therapy relationship before completion. This is at the discretion of both you as the patient and your therapist. Best efforts will be made to discuss this prior to ending therapy early and to look for solutions, although there may be some cases where this is not possible. This is a rare outcome and from the perspective of the therapist usually only occurs after our policies have been disregarded multiple times despite being brought to your attention. If your therapy is terminated early, we suggest connecting with your primary care provider for the next steps in your care and in some cases your therapist may have suggestions on next steps as well. 

If you wish to end therapy early and cancel all of your future appointments, please reach out to our administrative team at admin@vitapsychiatry.com as soon as possible, as you will be charged a cancellation fee if you give less than 48 hours notice.
